This is the official Data Protection Policy document of Work West. It describes how Work West delivers on its commitments to protect and respect your personal information. It gives background information about Work West and it outlines in various documents referred to below what procedures we take to ensure that we comply with data protection law.
About Work West
Work West was established in 1989 as a local enterprise agency with funding from government. It is a social economy enterprise with charitable status. It rents out office units to small businesses and provides advice, training and assistance to those developing business projects. Profits made remain within Work West for the benefit of the organisation and the community.
Work West is governed by a Board of Directors. The directors have legal, accountancy and business expertise to manage Work West in accordance with the law and good governance.
Privacy Notice and our Procedures Documents
Our Privacy Notice outlines your rights and our duties to you and how we process your personal information. Our Procedures Documents, which are for internal use, have greater detail on how we comply with the law. We can share these procedures with you if the need arises.
Our Privacy Notice is likely to be the most useful document for you. It is on our web site and is available as a hard copy leaflet at our premises and any member of staff will ensure that you have a copy on request.
It describes the different categories of person we deal with, such as employee or business tenant or director of Work West or as one of our clients. It confirms the lawful basis for processing for each category of person and the purpose of that processing. It shows how to make a request for details of the information we hold about you, how to amend it and how to make a complaint and related matters.
For further, reliable information about data protection, the best source is the website of the Information Commissioner’s Office at https://ico.org.uk. The ICO is the official regulator for data protection in the UK.
Each of our Procedures Documents contains details of various internal management steps which we must take under data protection law. Some of these steps must by law be carried out and others are strongly recommended as good practice.
Examples are agreements with our security camera operators, with our software back up company and details of data controllers and data processors. Optional documents include management controls, guidelines on social media, requests for information, complaints handling, archiving retention and disposal of information and so on.
Data Protection Officer
Our Chief Executive ensures compliance with data protection at all levels in Work West on behalf of the Board of Directors. We are not required by law to have a data protection officer, but our Chief Executive performs this function for us. If you require any information or assistance about data protection at Work West our Chief Executive will be happy to help.
